Administrative Assistant II

Department of Family Medicine Alhambra, California

The Department of Family Medicine in the Keck School of Medicine at USC is seeking an administrative assistant to join the Department’s administration team and work closely with the Department’s leadership team.  We are looking for a dynamic, organized, self-motivated individual.  The Department provides education to medical students, physician assistant students, medical residents and community physicians.  It delivers primary care to patients at multiple clinic sites. Faculty also engage in research.    Duties include clerical and organizational support.

Duties for this position may include:

Administrative Assistance
1.    Assists Vice Chair for Clinical Affairs (& other faculty as assigned) with calendar.  
2.    Coordinates meetings for clinical division (books space, sets up Zoom, prepares documents, orders food, reaches out to participants to organize, takes minutes, distributes action items, as needed).
3.    Distributes announcements to faculty, staff, etc as needed.
4.    Provides administrative support to Clinical Division (e.g., onboarding schedules, document and report drafts, PowerPoint, logistics and meetings for recruitment, coordinates evaluations)
5.    Support the day-to-day clinical activities with Clinical Administrator
6.    Assists with Street Medicine contract and clinical compliance

Financial Transactions
1.    Processes and logs faculty and clinical staff discretionary transactions for all clinical units (Student Health, Street Medicine, Faculty Practice, LAC-USC, FQHCs)
2.    Processes and logs all other financial transactions for the clinical units (e.g., business cards, lab coats, supplies and services, reimbursements, travel arrangements, POs, deposits)
3.    Supports Clinical Office Coordinator with provider billing processes


Special Programs
1.    Provides back-up to Chair’s Assistant for events

HR
1.    QGenda scheduling & clinical faculty time away reporting


Preferred Education: Master’s degree
