Project Specialist-Administrative -- Arlington Office

Viterbi School of Engineering Arlington, Virginia

USC’s Information Sciences Institute (ISI), a unit of the university’s Viterbi School of Engineering, is a world leader in the research and development of advanced artificial intelligence, information processing, computing, cybersecurity, and communications technologies. ISI’s 400 faculty, professional staff and graduate students carry out extraordinary information sciences research at three distinct locations - Marina Del Rey, CA; Arlington, VA; and Waltham, MA.

*This position is located in Arlington, VA.*

ISI is looking for a Project Specialist-Administrative for their Arlington, VA Office.  The Project Specialist-Administrative would provide specialized professional support services for research and/or administrative projects.  They would assist in the administration and coordination of a variety of research and/or administrative projects including planning, budgeting, organizing, documenting, purchasing, scheduling, and supporting travel and meetings, and processing reimbursements. We are looking for a competent, self-motivated project specialist-administrative with an interest in technology and supporting research. The position involves coordination and executing the projects across multiple teams in different geographical locations.


· Plans, organizes and schedules activities to meet objectives. Ensures that these are well-documented and communicated to project personnel.

· Evaluates, recommends and implements procedures for administrative operations.

· Assists in the preparation of technical reports and papers.

· Helps to develop and manage project budgets. Directs ongoing purchasing activities including one-time major purchases.

· Assists with the planning and staffing of project operations based on proposed research activities and timelines.

· Monitors and tracks funding sources and opportunities. Assists with technical proposals. Interfaces with funding agencies to exchange information regarding projects status and to build and maintain rapport to enhance opportunities for additional funding.

· Plans and participates in meetings, discussion groups and other types of events to promote project visibility. Engages in presentations on behalf of the project.

· Coordinates and/or links project operations with other administrative and research functions at ISI and USC. Serves as a key resource for project information and resolves problems or questions referred by internal and external sources.

· Helps gather information for and disseminate information to the project website and social media.

· Establishes and maintains an active network of professional contacts.

· Handles travel reimbursements and purchase orders.


· Master’s degree

· Experience with sponsored projects and grants

· Experience working within a university/academic research center

· Computing skills: Experience with relevant software applications such as Microsoft Word, Excel, PowerPoint, OneDrive, SharePoint, G Workspace, and Overleaf; experience with internet search tools, web design, and repositories such as GitHub.

· Excellent writing skills

· Communication: Excellent verbal and written communication skills
