Medical Secretary

Ellison Institute- Administration Beverly Hills, California

To accomplish this, the Institute offers multifaceted programs, including a cancer center, cross-disciplinary research laboratories, a health policy think-tank, and community outreach and educational opportunities.

Job Summary

Assists the clinic and research staff with the management of:

  • Have excellent customer service skills
  • Day-to-day projects and special projects as directed
  • Answer phones, filing, maintaining databases and patient records
  • Create documents or letters for staff and faculty
  • Utilize various computer software
  • Schedule appointments, maintaining supplies
  • Prepares and composes correspondence, agendas, coordinates meeting arrangements, including clinical conferences and special research meetings.
  • Transcribes minutes, and distributes information.
  • Arranges patient appointments in multiple electronic medical record systems.
  • Prepare all necessary documents and forward to appropriate departments including insurance authorizations, encounter documents, and requisitions.
  • Serve as a liaison between patients, physicians, nursing and other research departments
  • Scanning in medical records into electronic EMR.
  • Back-up the Executive Assistant as necessary
  • Demonstrates positive interpersonal and interdepartmental communication skills. Cooperates with co-workers/managers to maintain a productive and harmonious work environment.
  • Provides professional organizational skills and a strong attention to detail, with proven ability to handle multiple tasks effectively to ensure the timely completion of established timelines.


Preferred Education:  High school diploma required. Bachelor’s degree preferred or equivalent experience.

Preferred Experience: 2 years progressively responsible Medical Office and administrative experience, oncology healthcare field preferred.

Preferred Field of Expertise: Prefer medical secretarial experience in a comparable environment to provide knowledge of operations, policies and procedures.

Posting Salary Range:  $18.70 – $24.93

Percentage of Time: 100%
