Executive Administrator

Office of the General Counsel Los Angeles, California

USC's Office of General Counsel (OGC) is seeking an experienced, high-level Executive Administrator to directly support the Senior Vice President (SVP) and General Counsel (GC), and provide administrative oversight of the operations of the OGC.  The Executive Administrator is a key position within the OGC, one that will proactively identify crucial priorities and deliverables for the SVP and GC, and also assist with assigning tasks to appropriate OGC attorneys, while diligently monitoring all deadlines.

The Office of General Counsel is comprised of fourteen attorneys, including the General Counsel, each with different areas of expertise, who oversee all the legal issues arising out of the activities of USC, its various schools and departments, and Keck Medicine of USC. The mission of the Office of the General Counsel is to assist USC, through its various schools and departments, with legal issues and transactions, to educate administrators and faculty with regard to the laws applicable to the university’s operations, to defend the university against litigation, and to provide advice to administration and faculty to pursue their objectives and goals, with an overall objective of protecting USC from liability.

Additional job accountabilities include, but are not limited to: 

  • Prepares materials for recurring meetings, such as the President’s Cabinet Meeting and the Quarterly Attorney Staff Meeting. 
  • Collaborates with the Senior Business Officer (SBO), and assists with the preparation of the annual budget, and monitors budget performance.
  • Facilitates communication between the SVP and GC with Trustees, senior officers, and other high-level stakeholders regarding confidential matters to ensure appropriate follow-up is completed. Triages issues and prioritizes projects and questions that need to be addressed by the SVP and GC, ensuring that all such matters are handled with the utmost discretion and sensitivity. 
  • Works with the Deputy General Counsel to oversee attorney performance. 
  • Monitors progress on annual goals and accomplishments. 

Minimum Qualifications

Minimum Education: Bachelor’s degree; combined experience/education as substitute for minimum education
Minimum Experience: 7 years
Minimum Field of Experience: Paralegal or Bachelor’s degree, administrative or project administration experience for an executive, excellent writing and oral skills, strong organizational skills to address, prioritize and coordinate multiple projects, problems and activities concurrently, accounting experience (i.e. expense projection), tech savviness, project management.

Preferred Qualifications

Preferred Education: Master’s degree
Preferred Experience: 10 years
Preferred Field of Expertise: Executive-level support within the entertainment industry, high-level corporate environment, or other in-house legal department.
