Faculty Support Administrator

USC Bovard College (“Bovard College”) is seeking a Faculty Support Administrator to administer activities related to faculty recruitment and appointment, orientation and training, support and development, evaluation and reward, and data and file management.

Bovard College provides innovative programs to support individuals during key academic and career transitions.  Bovard College graduate degree programs address the unique needs of working professionals as they advance in their careers. Curricular development projects are ongoing in the expansion and improvement of Bovard College’s academic programming.  Curricula are critical in supporting Bovard College in accomplishing its mission and purposes and this position is responsible for ensuring that Bovard College has the appropriate curricula to support the delivery of its academic programs. We are looking for collaborative individuals who are comfortable in a high-growth environment and are excited by progressive, innovative curriculum, and this position will support other activities within Bovard College’s academic operations as needed.  We seek professionals dedicated to producing the highest quality work.

Qualifications:

  • Bachelor’s degree and a minimum of 3 years of experience as an administrative assistant or in a related position in faculty affairs, preferably in online educational environments.
  • Excellent analytical, written and communication skills, with demonstrated ability to collaborate well with faculty and staff.
  • Ability to work in a fast-paced environment while balancing and prioritizing multiple projects.
  • Ability to learn and adapt quickly.
  • Ability to manage multiple projects, adjust to changing priorities and perform well under pressure.

Job Accountabilities:

  • Administer faculty support services and operations, identify best practices, trends, and needs to operate effectively. Modify existing services and create new offerings to enhance program procedures and operations.
  • Develop and administer procedures regarding faculty file management, documentation, tracking, and reporting for faculty recruitment, screening, appointment, contracting, scheduling, evaluation, and related procedures.
  • Manages the deliver of services, such as orientation, to Bovard College faculty and prospective faculty, including communication priorities and performance standards. Reviews quality of services nad recommends changes as needed.
  • Partner with HR function to coordinate preparation of appointment letters, contracts for work assignments, and hours reporting processes.
  • Assist with the onboarding process for new faculty.
  • Facilitate course materials access for faculty including provisioning books and materials as needed by faculty to teach assigned courses.
  • Coordinate teaching demos, guest speakers, committee meetings, and facilitate related reminders and documentation.
  • Prepare and disseminate routine faculty communications as well as agendas and meeting minutes and follow up correspondence.
  • Respond to administrative requests and queries from staff team.
  • Prepare reports on various teaching and faculty related data and trends.
  • Assist with developing and maintaining faculty data bases.
  • Additional administrative tasks, as assigned.

Preferred Experience:

  • 5 or more years of experience in a faculty affairs environment in an online learning environment.
