Office Manager - USC Career Center

USC Career Center Los Angeles, California

Among the key responsibilities for the Office Manager are processing check requests, purchase orders, travel reimbursement, etc. Takes care of deposits on the Kuali system and tracks and analyzes expenditures of the office and communicates with the Career Center staff and other departments on campus. The Office Manager also negotiates with vendors regarding supplies and takes care of ordering necessary materials for the center. This position ensures that departmental and university policies are implemented at the front desk. In addition, the Office Manager assists the Executive Director with projects as requested.


  • Monitor and manage departmental budget. Reconcile expenses against monthly statements and track payments of invoices, purchase orders, and internal requisitions
  • Identify new vendors and negotiate rates for Career Center materials, event rentals, and space reservations
  • Hire, train, and supervise one full-time staff and approximately 10-15 student associates
  • Event management for Career Center departmental events and special programs
  • Log monthly staff attendance and report any discrepancies
  • Maintain compliance records, ensuring that all staff have completed any required university and division training or certifications
  • Guide parents, students, and alumni through support calls for our web-based enterprise systems
  • Manage Customer Service Representative responsibilities when they are out of the office
  • Performs other related duties as assigned or requested

Preferred Qualifications

Field of Expertise

  • Office management experience combined with specialized knowledge of university policies and procedures, preferably those of USC.
  • Experience handling budgets and vendor management
  • Proved experience in Microsoft Excel
  • Previous experience overseeing a staff (including student workers)
