Student Services Advisor I

The Viterbi School of Engineering Department of Aerospace and Mechanical Engineering is seeking an Assistant Director of Student Services to join its outstanding team of faculty, staff and students. Under the guidance of the Director of Students Services, the incumbent will primarily assist in the advisement and administration of the department’s Master’s programs
Advise prospective and current MS students on academic requirements, admission process, and graduation requirements.
Maintain AME MS students' records and STARS reports.
Outreach to at-risk and probation students.
Evaluate student academic performance and make recommendations for dismissal or continuation in the program.
Assist with the AME MS admission selection process by reviewing application materials and evaluating student files.
Assist with AME undergraduate advisement and yearly audits, as needed.
Assist with AME PhD admission and advisement, as needed.
Verify degree progress, enrollment and degree verification.
Prepare reports for internal and external use.
Evaluate student issues — academic or personal — and resolve issues immediately or refer to appropriate faculty or office for additional counseling.
Participate in committees at the department, school, college or university level which deal with student services.
Interface with faculty to exchange and update information on student's academic progress, transfer work, substitutions and waivers or to enlist support of program services.
Assist Viterbi GAPP Office with attendance and coordination of MS recruitment events (Open Houses, lab tours, Preview Days, etc.).
Present and record webinars and in-person orientation sessions.
Assist with the planning and coordination of annual department events (orientation, commencement, poster competitions, receptions, etc.).
Attend University, School and Department student events.
Advise students on Progressive Degree Program requirements and procedures.
Help coordinate and assist in resolution of grade and registration issues.
Coordinate with faculty to process textbook orders with USC bookstore.
Arrange for desk copies for faculty and TA's.
Help with the arrangement of classroom reservations.
Review incoming documents, file as needed or forward to appropriate office.
Provide customer service to students, staff and faculty who contact dept. in person, via phone or email.
Facilitate the submission of student petitions to various university departments.
Support department in organization of materials for ABET Review process.
Assist with the training of student workers and new staff on office procedures and department protocol.
Perform other related duties as assigned or requested.
Master’s Degree in counseling, psychology, education, or related field
2 years experience in student services or related field
Knowledge of USC student and academic programs, policies and procedures; knowledge of the student information system
