The University of Southern California’s (USC’s) Information Technology Services is seeking a talented Vendor Management Analyst with an exceptional commitment to service excellence to join its team. As the Vendor Management Analyst, you will be an integral member of the Strategic Planning and Analysis team, collaborating with diverse and talented team members to help solve multidimensional information technology problems, improve customer experience, and generate value for our campus stakeholders across a broad base of departments and constituencies.

MINIMUM QUALIFICATIONS
The candidate for the position of Vendor Management Analyst must meet the following qualifications:

  • Bachelor’s degree in a relevant field such as business administration, finance, etc., or equivalent combination of education, training, and experience.
  • Two years of experience in information technology (IT), IT asset management, sourcing and procurement, or higher education.
  • Experience with identifying cost-saving opportunities by consolidating hardware and/or software renewals, software licenses, and maintenance contracts and services.
  • Experience serving as a liaison between management and key customer stakeholders to maintain processes and controls for the intake and maintenance of assets.
  • Strong understanding of vendor management processing, procurement, and requisition or invoice processing.
  • Extensive experience in developing high-performing teams by providing mentorship and stewardship to enable career development and growth.
  • Experience planning, scheduling, and managing budgets.
  • Advanced proficiency in Microsoft Office applications such as Excel, Word, PowerPoint, and SharePoint.
  • Experience managing diverse, cross-functional teams.
  • Exceptional organizational skills to balance work and resources.
  • Ability to develop positive working relationships and a strong rapport with team members.



PREFERRED QUALIFICATIONS
The ideal candidate for the position of Vendor Management Analyst has the following qualifications:

  • Bachelor’s degree in a relevant field such as business administration, finance, etc.
  • More than four years of experience in IT, IT asset management, sourcing and procurement, or higher education.
  • Contract management certification.
  • ITIL certification.

THE WORK YOU WILL DO

The Vendor Management Analyst coordinates the sourcing, contracting, implementation, and lifecycle management of vendors through the consolidation, standardization, and co-terming of hardware, software, and service contracts. The Vendor Management Analyst collaborates on all aspects of the IT vendor portfolio, including administrative, financial, and operational impacts. The role interacts with product vendors and a broad group of ITS and campus procurement stakeholders to oversee and manage IT software and hardware assets. The Vendor Management Analyst is an enthusiastic change agent who manages ambiguity and influence in a federated organization. Job Accountabilities

The Vendor Management Analyst:

  • Collaborates with ITS and university stakeholders on IT asset management, including software and hardware asset management. Identifies cost-saving opportunities by analyzing and executing the consolidation of hardware and/or software renewals, software licenses, and maintenance contracts and services. Persuades and negotiates with vendors to obtain identified savings.
  • Serves as a liaison with management and key customer stakeholders to ensure that processes and controls are achieved for the intake and maintenance of assets within the catalog. Establishes policies and procedures surrounding the acquisition, documentation, deployment, usage, and retirement of hardware and software to realize the long-term benefits of the IT asset management strategy.
  • Processes requisitions and invoices from vendors while continuously improving invoice management processes to strengthen controls, maximize system resources, and improve efficiency and productivity.
  • Manages payable functions, including the maintenance of vendor master agreements. Ensures adherence to university guidelines for accounts payable policies, processes, and procedures.
  • Coordinates with campus business partners to aggregate vendor contract performance data. Partners with vendors to obtain contractual remedies. Develops remediation plans and facilitates vendor transitions.
  • Develops standard and ad hoc reports to support vendor management performance. Identifies and analyzes compliance validations, operational oversight, and overall vendor spending. Facilitates innovation and the continuous improvement of existing and future processes by leveraging report insights.
  • Contributes to an inclusive environment that values differences by building and maintaining collaborative relationships with team members, peers, and ITS leaders. Actively embodies ITS values and behaviors including accountability, ethics, and best-in-class customer service. Contributes to a culture of trust and transparency by sharing information broadly, openly, and deliberately.
  • Supports the vision forStrategic Planning and Analysis. Works closely with team members and management to implement and support effective solutions for vendor management. Maintains currency with technology, standards, and best practices. Supports process improvement efforts within the team and across ITS.
