Program Administrator, Outreach Coordinator (Fixed-Term)

The Education Department at USC Shoah Foundation works to bring testimony-based education programming, multimedia resources and digital tools to educators and students worldwide that support them in attaining curricular outcomes and promoting the capacity to counter antisemitism and hate in the world.

The Program Administrator - Outreach Coordinator for the education department plays a key role in a department that works across multiple time zones, with diverse people and within an environment of competing priorities. The position’s primary focus will be the Mobile Dimensions in Testimony (DiT) and William P. Lauder (WPL) Junior Internship programs. The duties of this role include performing specialized tasks, planning and executing student-facing programs, and establishing relationships with schools, school district staff, vendors, community organizations, and freelance professionals.

The successful candidate will:

  • demonstrate an interest in working closely within teams and with middle/high school students,
  • an ability to communicate, sensitivity and good judgment,
  • and a background in outreach, project management, communications, and editing.

The Program Administrator - Outreach Coordinator reports to the Director of Education and would be required to work on-site two days per week and during student programs, with some travel to school and school district sites in Los Angeles County.

Responsibilities

Attendance 

  • Report to job site 2 or more days a week (Monday – Friday), as well as for program-specific events at USC Shoah Foundation headquarters in Los Angeles, located on the main campus on the 4th floor of USC’s Leavy Library.
  • Position involves travel to school district offices and school sites around Los Angeles County.

Communications

  • Develop and deliver written and verbal internal/external communications (e.g. digital newsletters, reports, email communications, social media posting, digital and physical flyers, etc.) for various audiences/purposes: school and district leaders, educators, internal/external stakeholders, supervisor/leadership, vendors, parents and students participating in student-facing programs
  • Be knowledgeable about the Mobile DiT and WPL Junior Internship Program plans, initiatives, and strategy (will be trained)

Outreach

  • Conduct outreach to new and existing stakeholders (e.g. district and school leaders, educators, students, decision-makers) to recruit schools and promote participation in target programs
  • Maintain relationships and share program information, request information/feedback, and general communication.

Program Management

  • Develop student facing content for junior internship
  • Plan and deliver student-facing programs
  • Manage the procurement, organization and tracking of promotional collaterals and equipment
  • Coordinate with operations team to adhere to policies and processes
  • Establish and maintain relationships with external vendors
  • Work with content specialists on team to ensure all program or event requirements are met

Project management assistance 

  • Assist in maintaining outreach metrics and outcomes accessible to various audiences via established processes, project management tools and workflows (e.g. develop spreadsheets, Smartsheets, etc.)
  • Report on program reach/statistics verbally and in writing at designated times and ad hoc requests
  • Performs other related duties for focus programs as assigned or requested

Required Knowledge, Characteristics and Skills (*Must be clearly demonstrated in application materials)

  • 2 years (3 preferred) minimum work experience in at least two of the following areas:
  • Education (middle/high school preferred)
  • Event coordination/management
  • Communications
  • Administration
  • Autonomous, self-directed and proactive 
  • Research skills (e.g. online, databases, etc.)
  • Sensitivity and good judgement 
  • High proficiency with multiple types of software and tools (e.g. Outlook, MS Office, Excel, Smartsheet, Salesforce, One Drive)
  • Cross-cultural competency
  • Interest and commitment to equity and justice issues
  • Exceptional organizational skills, with an ability to manage multiple tasks and projects simultaneously and thrive in an entrepreneurial, dynamic environment
  • Strong verbal and written communication skills

Qualifications

  • Pass a background check for work with youth
  • Bachelor’s Degree required; Master’s Degree preferred
  • 2 years of directly-related work experience/3 years preferred
  • Excellent interpersonal, written and oral communication skills; bilingual competency a plus
  • Demonstrated proficiency in graphic design (flyers, promotional emails, etc.)

The annual base salary range for this position is $82,791.57 - $85,000. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
