Operations Project Specialist - Arcadia Eye Inst Clinic - Full Time 8 Hour Days (Non-Exempt) (Non-Union)
Apply Keck Medicine of USC Hospital Arcadia, CaliforniaProvides specialized professional support services to administrators and/or project managers in the administration of research and/or administrative projects. Assists in the administration and coordination of a variety of research and/or administrative projects including planning, budgeting, organizing, research and delivery of services. Coordinates and supervises work assignments of other administrative personnel as assigned.
Provides specialized professional support services to Directors and clinic managers in the outpatient practice of the Ophthalmology Service Line. Assists in the administration and coordination of a variety of administrative projects, including planning, organizing, delivering services, and overseeing billing and charge entry for professional services. Collaborates with clinic managers, ambulatory leaders, staff, and physicians as needed to accomplish the goals of the project. Coordinates, trains, and supervises work assignments of other administrative personnel as assigned. Projects may involve the need to coordinate training and act as a superuser supporting stakeholders in projects involving software/IT/enterprise initiatives and provides coverage for administrative functions as needed.
Essential Duties:
- Analyze data and create reports for clinical performance, e.g. clinical volume, financial data, etc.
- Reviews patient experience survey results with clinic leadership and develops and presents action plans to improve patient experience.
- Serves as liaison with patient access to communicated provider schedule changes. Assists with template creation and management.
- Coordinates, trains, and supervises work assignments of other department staff.
- Audits clinic schedules for missing charges and communicates with CBO and providers to complete charge entry. Escalates as needed to clinic leadership.
- Demonstrates flexibility in providing coverage for administrative functions. Willingly supports absences and vacations.
- Serves as SME for administrative functions and provides training as needed including training new team members.
- Assist in project administration, including planning, and reporting.
- Develop and maintain databases for reporting purposes.
- Attend and present at related events and meetings.
- Perform additional duties as assigned.
Required Qualifications:
- Req High School or equivalent
- Req Bachelor’s Degree Degree in a related field
- Combined experience/education may act as substitute for minimum education.
- Req 3 years Directly related project, analyst, or administrative experience.
- Req Excellent verbal and written communication skills.
- Req PC skills. Ability to work proficiently with Microsoft Excel, PowerPoint and Word. Working knowledge of databases, spreadsheets, and project management programs.
- Req Detail oriented individual with a high level of accuracy.
- Req Ability to work independently to meet objectives.
- Req Ability to exercise discretion and judgment in job performance.
Preferred Qualifications:
- Pref Master’s degree
Required Licenses/Certifications:
- Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $33.00 - $54.02.
