Administrative Ops Analyst II - IS Admin - Full Time 8 Hour Days (Non-Exempt) (Non-Union)

Under the direction of Manager, IT Administrative Operations, the Administrative Analyst II, will perform both administrative and project management activities for Information Services, Keck Medicine of USC. These duties will include management of projects of varying degrees of complexity, core office functions, executive support where assigned, and secure handling of sensitive human resource and other financial documentation. The role also calls for intermediate analytical skills as well as ability to lead and train other administrative staff. Incumbent will be responsible for maintaining accurate records and updating shared databases. Incumbent will also monitor the invoicing of external departments for Information Technology services as well track central IT administration budget expenses. Incumbent will participate and coordinate IT administrative policies and procedures, and track compliance among all IT staff.

Essential Duties:

  • Responsible for functioning as liaison between onboarding staff and other departmental leadership - interpreting policy and procedures and assisting in problem identification and resolution.
  • Lead weekly departmental meetings as assigned.
  • Manage various project activities; project planning, coordination, and communication.
  • Track and report budgetary expenses in the core IT administration cost center with timely reporting to the Director of I.S. Operations
  • Responsible for providing research and administrative support to special projects, preparing data, and execution as directed.
  • Responsible for using sound judgment when complications arise outside the scope of authority, such as the need for deadline augmentation, and bringing these to the attention of the appropriate Administrative Leader in a timely manner.
  • Responsible for maintaining security of information: e.g. patient medical records, hospital financial information, salary, staff and legal information in a confidential nature.
  • Provides administrative support to executive leadership as assigned which includes but not limited to scheduling, meeting minutes, and other core support functions.
  • Responsible for maintaining accurate record-keeping and updating databases daily.
  • Schedules, coordinates, and prepares for department meetings and events. Responsibilities include agenda preparation, room set up, and general logistics to ensure a smooth participation experience.
  • Other duties as assigned.

Required Qualifications:

  • Req High School or equivalent
  • Req 3-5 years Administrative experience
  • Req 2 years Experience in facilitation and management of projects
  • Req Must be able to work in fast-paced environment
  • Req Experienced in core office workflow applications
  • Req Strong organizational skills
  • Req Computer literacy in word processing, spreadsheets, etc.

Preferred Qualifications:

  • Pref Bachelor’s Degree
  • Pref Understanding of both information technology and healthcare environments.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)


The hourly rate range for this position is $33.00 - $54.02.
