Development Coordinator, Gift Planning

University Advancement is seeking a Development Coordinator, Gift Planning to join its Gift Planning team. Reporting to the Associate Director, the incumbent will assist the department with administrative support for various development projects and activities. The Development Coordinator has no direct reports but may be asked to help oversee the work of student workers on an as-needed basis.

This is a hybrid position under our current work arrangement plan, with the expectation of on-site presence in our downtown Los Angeles office (USC Tower).

Responsibilities

  • Coordinates, implements and provides administrative support for various development projects and activities for the Office of Gift Planning.

  • Evaluates and follows procedures and USC Policy in accordance with fundraising best practices to ensure quality control and efficiency in donor service.

  • Coordinates, plans and analyzes the management of donors and prospects under various stages of qualification, solicitation and cultivation using University Advancement tools.

  • Assists fundraising staff in the Office of Gift Planning in maintaining and reviewing prospect contact reports, proposals and projected solicitations for senior management to accurately represent efforts with prospects to ensure proper documentation in prospect records.

  • Reviews various sources of information to confirm donor contact information and preferences and assists with updating and maintaining database on a regular basis.

  • Provide basic administrative support for gift planning directors, including copying, scanning, mailing, scheduling, expense reports, reservations, as well as populating contact reports and occasionally drafting and/or proofing donor correspondence,

  • Supports the Office of Gift Planning legacy society membership and stewardship processes including tracking and sending welcome certificates, birthday cards, and/or condolence cards.

  • Coordinates estate gift processing and collection matters for the Office of Gift Planning including preparing requisite forms, collection of University officer signatures and official certificates, as well as scheduling notary signatures.

  • Provides direct support to the Executive Director of Gift Planning on various correspondence and reporting matters associated with the Office of Gift Planning trust, annuity, DAF, and estate gift accounts.

  • Serves as key resource for the Office of Gift Planning. Interfaces with University Advancement, development directors, officers, managers, faculty, and/or external contacts necessary to complete assignments.

  • Coordinates and assists with planning special development functions such as special events, direct mail, luncheons, telephone campaigns, meetings, volunteer activities, etc.

  • Perform other duties, as assigned.

Minimum Qualifications

  • Bachelor’s degree.

  • Combined experience/education as substitute for minimum education.

  • 3 years of administrative office experience including research and customer service.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Passion for excellent customer service, commitment to exceptional quality, and the ability to complete projects and achieve goals in a dynamic, fast-paced environment.

Preferred Qualifications

  • 2-3 years’ experience with supporting development programs, gift planning and/or fundraising CRMs (preferably Salesforce).

  • Ability to think strategically and holistically.

  • Ability to work well with all levels of management and collaborate with peers, both internally and externally.

  • Sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization.

  • Flexible, collaborative work style with the ability to adapt in a dynamic environment.

The budgeted salary range for this position is $32.64 - $33.39 per hour.
