Director, Student Affairs

The Viterbi School of Engineering Department of the Mork Family Department of Chemical Engineering and Materials Science is seeking a Student Services Advisor II to join its outstanding team of faculty, staff and students. The incumbent oversees the Bachelor's, Master’s, and Ph.D. programs with a student population totaling approximately 650. Responsible for the maintenance of student files/information, coordination of course offerings with FT and PT faculty, and oversight of the department’s advisement processes.
Provides leadership and guidance to other student services advisors in the department. Set priorities and timelines and monitors delivery of student services.
Leads and guides the student affairs team in resolving non-routine problems and provides policy or procedural interpretations for matters which are not clearly defined. Report information to relevant university partners including the Viterbi student affairs offices, student advocacy and support, the counseling office, the Registrar, the Graduate School, Title IX office and other involved university partners.
Leads the student affairs team in weekly student affairs updates and meetings.
Provides academic advisement, course guidance, and program progress details to directly to current Ph.D. , M.S. CHE and MASC students, and PDP students.
Assists students in resolving academic problems. Monitors progress of targeted students.
Navigates students through various petition processes and inputs graduation applications.
Documents student and faculty related data. Manages the undergraduate and graduate database along with other relevant student files.
Works with faculty on new academic policies, procedures, and changes.
Works directly with the Viterbi Undergraduate Advisement office and the Viterbi GAPP office on student cases.
Advises the various Mork Family Department student groups and meet with student group leaders.
Coordinates with the Department Chair, Associate Chairs, Directors, faculty, DEN and Classroom Scheduling in the preparation of the schedule of classes.
Organizes annual Screening Exam under the guidance of faculty committees. Advertises the exam, registers prospective examinees and responds to inquiries.
Maintains faculty course evaluations once received at the end of each semester; follows-up on schedule, as needed.
Coordinates with faculty and the Curriculum Office in submitting course syllabi for new courses and curriculum changes, prepares materials/forms for Curriculum Committee meetings.
Coordinates with the department chair, the lab staff and faculty with TA assignments.
Plans and coordinates various departmental events including seminars, symposiums, welcome lunch, commencement related events, and symposium.
Assists with accreditation (ABET) process.
Recruitment and Admission:
Responds to inquiries on admission and transfer coursework. Updates web information on procedures and requirements. Interacts with Admissions Office to follow-up on the review process.
Works with central USC admissions on completing student files.
Attends recruitment events for prospective graduate students including the annual AIChE event.
Oversees annual PhD Preview Day for admitted students
Organizes visits of prospective students and work with the GAPP office on their recruitment events.
Processes PhD applications and prepares files for faculty review and decision. Enters decisions and notifies admitted students.
Updates faculty on new admissions and funding policies, procedures, and changes.
Coordinates the M.S. admissions process with the GAPP office and the department’s faculty advisors especially in borderline decisions.
Works with limited status students and premaster applicants.
Other Related Duties
Assists students in organizing co-curricular activities.
Attends student-related meetings and affairs.
Supervises student affairs employees including student workers and graders.
Helps with on-boarding of new faculty hires.
