Medical Secretary

USC Institute for Neuroimaging and Informatics Los Angeles, California

The USC Mark and Mary Stevens Neuroimaging and Informatics Institute and Laboratory of Neuro Imaging (INI, www.ini.usc.edu) are world leaders in the development of advanced computational and scientific approaches for the comprehensive mapping of brain structure and function. LONI’s unique multidisciplinary environment and cutting edge resources allow for integration of clinical, psychological and genotypic information with neuroimaging phenotypes for research questions in neurology, psychiatry and developmental neurobiology.

The USC Stevens Neuroimaging and Informatics Institute is a high-tech neuroimaging research facility located at the USC Health Sciences Campus. We are seeking a medical secretary to provide a variety of support to faculty and staff in the institute.

Essential Functions:

  • Provides assistance in the day-to-day administration of the department.
  • Greets, assists, and directs visitors in a professional manner.
  • Answers, screens and forwards calls, responds to questions, and delivers messages.
  • Creates and maintains files, charts, databases, graphs, and spreadsheets.
  • Types and proofs documents, transcribes dictation, and complete required paperwork.
  • Schedules patient appointments, obtains authorizations and pre-authorizations, and maintains the master calendar.
  • Processes insurance forms and maintains logs. Coordinates the submission of charges to billing.
  • Accepts and signs for mail and packages. Delivers mail/packages and prepares items to be sent out.
  • Performs a variety of routine clerical tasks. This includes sending emails, data entry, formatting documents, and maintaining logs. Researches and gathers data for departmental reports.
  • Assists in maintaining office equipment and supplies. Assures the reception area is clean and orderly.
  • Performs other related duties as assigned or requested.

Qualifications:

  • Able to work in a team environment
  • Ability to handle confidential information with discretion
  • Able to perform detail oriented work with high degree of accuracy
  • Demonstrated working knowledge of Microsoft Office Suite
  • Self-motivated, responsible, and able to work and gather requirements independently
  • 3+ years of experience as a medical receptionist is preferred

Minimum Education: High school or equivalent Minimum Experience: 1 year Minimum Field of Expertise: Medical secretarial with knowledge of word processing and spreadsheet software and medical terminology. Transcription experience.
