Office Technology Specialist

The USC Stevens Center for Innovation is seeking to hire a creative, enthusiastic, high-energy and detail oriented Office Technology Specialist to join its team. Supporting the University's strategic goal of "scholarship with consequence," USC Stevens leads university initiatives that empower USC faculty and students to maximize the impact of their research and scholarship by creating successful relationships with investors, corporations, and other private entities, as well as initiating start-up companies (http://stevens.usc.edu). USC Stevens is unique as it is partially endowed by a generous donation from USC trustee and Sequoia Capital partner Mark Stevens, reports to the Vice President of Research, and has the full support of the USC Provost.

Responsibilities include:

The Office Technology Specialist will provide all data management, reporting, and technical support services to USC Stevens using specialized systems, databases, and other cutting-edge technology, including: Preparation, analysis, and refinement of data and/or evaluation for accuracy and consistency; Definition of policy and user roles for system; Ensuring data integrity; Writing and generating specialized reports and report templates; and Monitoring of systems security, procedures, and performance.

Specific duties include, but are not limited to:

  • Maintain and/or implement specialized unit or departmental database(s), systems and related records. Enter and/or verify database transactions. Provide technical support and advise users or work with team members on matters pertaining to access, data integrity, data security, policies and procedures, development of system, and design of enhancements. 


  • Generate reports, set up and/or design detailed reports, documents and spreadsheets of a technical or specialized nature using software and/or basic programming skills. Monitor formats and output for effectiveness and reliability. 


  • Gather and organize data and/or records for internal or external reporting purposes such as audits and investigations. Contact appropriate sources for information. Prepare, analyze and refine data and/or evaluate for accuracy and consistency.Analyze and evaluate data for purposes of resolving issues or policies and procedures or recommending action for resolution of various matters.

  • Research records and gather information for various matters such as background for special projects, enhancement of databases, decisions on requests for policy exceptions, establishing rates, determining costs, resolving various issues for faculty, staff and/or students, providing management reports, etc.

  • Train users on database application functions and related records and/or programs

  • Serve as liaison with various campus units and/or external agencies for information exchange, to ensure accuracy and consistency of data and/or to resolve issues.

Minimum Qualifications:

  • Bachelor’s degree
  • 3 years experience
  • Demonstrated proficiency of technical support and office administrative skills
  • Demonstrated proficiency in Microsoft Office
  • Strong knowledge of hardware, software and applications to guide technology efforts
  • Demonstrated interpersonal, critical thinking and communication skills

Preferred Qualifications:

  • 2+ years experience with intellectual property databases (Sophia and/or Inteum)
  • Intermediate MySQL programming proficiency
  • Experience in an academic setting, preferably a university
