Apply Keck Medicine of USC Hospital Los Angeles, CaliforniaThe Scheduling Supervisor fulfills a variety of leadership scheduling roles to ensure continuity of care for patients. This role is responsible for fostering team cohesiveness, providing direction, and offering educational opportunities. The position oversees the development and implementation of workflows, establishes policies, and drives process improvements to streamline scheduling and enhance the delivery of care. In addition, the Scheduling Supervisor oversees daily scheduling operations, creates and refines protocols, and develops process improvement plans designed to accelerate scheduling efficiency and optimize patient care. The Scheduling Supervisor also oversees the delivery of support services to other departments and physician office staff, ensuring appropriate allocation of resources, equipment, and staffing for scheduling operations. This role partners with the Director on strategic planning to address patient volume growth, coverage gaps, underperformance, turnaround times, and other system issues that may impede patient care. The Scheduling Supervisor is responsible for evaluating staff productivity on a weekly and monthly basis, providing coaching and direction to ensure timely and accurate scheduling practices. This role will lead monthly staffing meetings to address performance concerns, resolve scheduling issues, and implement process improvements as needed. The Supervisor also oversees projects related to scheduling operations, including the design, maintenance, and modification of scheduling blocks to optimize access and efficiency. The Scheduling Supervisor manages scheduling operations by ensuring efficient electronic workflows and resolving conflicts or complaints. This role also oversees front desk functions, including new staff orientation, precepting staff, and validating competencies, while supervising New Patient Referral staff to ensure adherence to hospital policies and procedures. Additionally, the Supervisor manages the development and maintenance of scheduling templates and reports. Other duties may be assigned as needed.
Essential Duties:
- Directly supervises assigned staff. Evaluates employee performance and provides guidance and feedback to assigned administrative staff. Counsels, disciplines and/or terminates administrative employees as required.
- Oversees compliance with time and attendance policies and ensuring appropriate staffing coverage.
- Manages the workflow for all the administrative support team and quality team members. Assesses the delivery of the work and reassigns work as needed.
- Coordinates and oversees training of all new team members, monitors and assesses progress.
- Manages daily operations and provides specific technical expertise for the administrative functions supervised. Directs and manages the delivery/deployment of projects and lends technical assistance to others as needed.
- Works closely with the department leaders to develop and sustain processes that meet the administrative and operational support needs of the organization.
- Fields all complaints/concerns from other departments related to Scheduling/ Authorization.
- Oversees daily operations in Scheduling, sets the pace in the department.
- Leads and represents Centralized Scheduling at monthly meetings.
- Proactively Analyze/plan/prepare next day’s schedule anticipating conflicts and arranging for special resources with minimal mistakes.
- Ability to bridge the gap between multiple departments to ensure the work flows timely and efficiently.
- Participates in additional projects and assignments as requested.
- Oversees departmental supply use and cost-containment practices in alignment with budget.
- Demonstrates flexibility, self-direction, accuracy, and problem-solving skills in daily activity.
- Proactively Analyze/plan/prepare next day’s schedule anticipating conflicts and arranging for special resources with minimal mistakes.
- Supports the recruiting process for all hires.
- Schedules staffing cross-coverage daily, manages vacation requests and sick calls.
- Ability to work efficiently when faced with frequent interruptions.
- Ability to establish and maintain cooperative working relations with co-workers.
- Ensures staff adherence to policies, initiating corrective action as needed.
- Performs other related duties as assigned.
Required Qualifications:
- Req High School or equivalent
- Req 5 years Oncology scheduling required.
- Req 3 years Lead and/or Supervisory experience required.
- Req Medical terminology knowledge
- Req Possesses strong Customer Service Skills to promote pleasant and effective interactions with patients, staff and physician.
- Req Ability to set priorities and complete assignments in a timely manner
- Req Organization/time management skills.
- Req Skill in prioritizing assignments when faced with heavy workload, deadlines and competing requests for service in order to complete tasks in a timely manner.
Preferred Qualifications:
- Pref Bachelor’s Degree
- Or 6 years of related equivalent experience in lieu of bachelor's degree.
Required Licenses/Certifications:
- Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only).
The annual base salary range for this position is $60,320.00 - $94,020.00.
