The University of Southern California (USC) has established programs to optimize its current use of the Workday Human Capital Management; as well as, expand the overall use of Workday. These programs are critical to USC’s overall goals to improve administrative efficiency.
We are currently seeing a Workday Office Assistant to join the Workday Human Capital Management optimization program team within the Information Technology Services (ITS) department here at the University of Southern California. The Workday Office Assistant will be responsible for overall coordination of the program activities which includes managing the program calendars, scheduling and preparing for program events, tracking and maintaining program team logistics, helping manage the program financials, and working with the program leadership to help execute the plan.

This is a fixed-term position with anticipated end date of December 31st, 2019. Please note that these are full-time roles eligible for benefits, including medical, dental, and vision plans.
What You’ll Do:
Serve as the administrative point of contact for the Workday Human Capital Management Optimization team
Manages the overall program calendar of events
Works with program leadership to plan and schedule events
Researches, finds, and reserves space at USC for program meetings and events
Tracks and helps coordinate overall program budget and spend by assisting in the processing of program expenses and invoices
Helps maintain program documentation within file sharing software (e.g., ongoing program status reports)
Works with other program team members to assist in copy editing program communication
Helps maintain the program email account
Maintain an inventory of team supplies
Supports ad hoc clerical needs of the program (e.g., postal packages, receiving visitors)
Performs a variety of moderate to complex clerical functions, as assigned, which may include: researching data, proofreading, editing, preparing and processing correspondence, reports, other documents, establishing and maintaining unit files, word processing, entry and retrieval of electronic data, processing printed documents, calculating, verifying and posting financial information, preparing and issuing bills, statements, receipts, checks and other documents, scheduling appointments, maintaining calendar(s), receiving visitors, answering telephones and providing information or referring calls, as appropriate, taking and conveying messages, establishing and maintaining logs and other records, processing incoming and outgoing mail and packages, sending and distributing fax messages, monitoring inventory and ordering unit supplies, or other duties of comparable complexity
Leads unit's clerical employees and student workers, as assigned. Provides leadership and work guidance, schedules, assigns and prioritizes workloads. Sets appropriate deadlines. Monitors employee performance on daily basis. Ensures timely completion of unit's work
Meets with appropriate administrative staff to determine clerical needs of work unit and to establish reasonable time schedules for completion of work
Resolves routine problems in work area
Provides backup support and relief coverage within unit, as needed
Perform other duties as assigned or requested. The university reserves the right to add or change duties at any time
The Must Haves:
2 years of general office experience with some supervisory responsibility
The Nice to Haves:
3 years of administrative experience
Experience working on or with an Information Technology Project
Experience managing administrative expenses and budget
