Academic Program Manager

Keck School of Medicine Los Angeles, California

USC Department of Surgery recruiting an Academic Program Manager for our Residency Program. The Academic Program Manager will manage all the Department of Surgery Residency and Fellowship Programs and Staff under the guidance of the Vice Chair of Education. The Academic Program Manager will also ensure compliance with current guidelines of the American Medical Association (AMA), Accreditation Council for Graduate Medical Education (ACGME), American Board of Surgery (ABS), and applicable specialty boards,  participate in the development of short- and long-term program strategies and  manage team members. Additional duties include:

  • Manage the day-to-day administration of all academic programs in the division.
  • Coordinate and supervise teams’ daily activities and set priorities to ensure tasks are completed.  
  • Address program related questions and resolve any issues.
  • Develop and manage program operating and administrative policies and procedures.
  • Manage the implementation and evaluation of programs.
  • Assist with the planning and development of program rotations, curriculum, events, graduations, and conferences.
  • Supervise, recruit, train, and develop personal growth opportunities of staff.
  • Responsible for the tasks, performance, and/or assignments conducted by direct reports; along with communicating ongoing changes in duties, goals or performance.
  • Responsible for approving/inputting resident time off/LOA into workday, approving one-time payments, or any other related paperwork necessary for residents. (Keck funded)
  • Responsible for all workman compensation incidents for staff and residents.
  • Participate in professional conferences and provide feedback and program growth/development ideas.
  • Manage all program institutional affiliation agreements, MAA’s, LOA’s, and PLA’s for all affiliated and Non-Affiliated hospitals.
  • Manage all program event contracts with proper USC departments.
  • Oversee all programs are prepared for Program Internal Reviews and Site Visits.
  • Oversee and Assist with the planning and development of program rotations, curriculum, events, graduations, and conferences.
  • Oversee workshop and training development/delivery.
  • Oversee program communication items, coordination, production and dissemination of documents.
  • Assure all programs follow regulatory agency standards (Webads, AMA, GME Track, MyEvaluations, etc.)
  • Assist with resident/fellow institutional billing and or inquiries with the office of finance.
  • Manage division budgets, reimbursements, expenses and financial transactions.
  • Manage R38 program
  • Manage departmental events and named lectureship financial transactions.
  • Assist with division marketing, fundraising opportunities, and staff administration.
  • Perform other related duties as assigned or requested.

Master's Degree Preferred.

The annual base salary range for this position is $94,551.31 - $105,000 . When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.

Minimum Education: Bachelor's degree. Combined experience/education as substitute for minimum education Minimum Experience: 5 years. Combined experience/education as substitute for minimum experience Minimum Field of Expertise: Experience managing learning programs for adults. Demonstrated experience in management/leadership roles, building and maintaining relationships with domestic and international stakeholders. Proven budget oversight and planning experience. Outstanding interpersonal, oral, and written communication skills, with exemplary attention to detail. Experience in higher education and/or customer service. Proven ability to plan, implement, and coordinate program logistics. Demonstrated database/data entry experience. Proven project management and problem solving skills, able to handle multiple timelines, changing priorities, and fluctuating workloads.
