Employment Screens Coordinator

Job Summary

The Employment Screens Coordinator serves as an integral member of the Talent Acquisition team assisting with key hiring activities for the university. This position is responsible for conducting background checks for employees in coordination with recruiters and hiring managers. The Employment Screens Coordinator will follow standard operating procedures according to USC policy and relevant state and federal employment laws. Additionally, this position will conduct intake and tracking of criminal and civil research, drug screens and other screening report results with extreme accuracy. The Employment Screens Coordinator will maintain key relationships with their manager and recruiting teams to provide responsive and timely processing of background screenings. This role will help enable USC’s vision while championing USC’s culture and values.

Minimum Qualifications

The candidate for the position of Employment Screens Coordinator must meet the following qualifications:

  • Extensive applicable experience in talent acquisition, sourcing and recruiting.

  • Strong attention to detail; strong emphasis on accuracy.

  • Demonstrated time management skills and the ability to prioritize competing tasks.

  • Ability to positively interact with candidates, hiring managers, and senior leaders in the organization. 

  • Exceptional collaboration skills and the ability to understand the needs of hiring managers.  

  • Strong written and verbal communications skills. 

  • Strong analytical skills and the ability to think strategically and creatively. 

  • Team-oriented self-starter with the ability to work independently and proactively. 

  • Ability to work under pressure with tight deadlines and frequent interruptions. 

  • Ability to exercise discretion with confidential information and sensitive data. 

  • Proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint). 

  • Experience working with HR applications (such as Workday HCM and Applicant Tracking Systems (ATS). 

This is a fixed-term position that will have a scheduled end date. Please note that this full-time role is eligible for all benefits/perks offered by USC to its employees, including but not limited to: medical, dental, vision plans, generous retirement contribution, tuition assistance, paid sick/vacation/holidays, etc.

Preferred Qualifications

The ideal candidate for the position of Employment Screens Coordinator has the following qualifications:

  • Bachelor’s degree in business, psychology, communications, or another related field.

  • Three or more years of experience in higher education and/or human resources.

  • Experience conducting background and reference checks.

  • Knowledge of federal, state, and local legal regulations regarding employment screening.

  • Ability to learn, interpret, and apply a wide variety of state, federal and local policies and procedures relating to employment screening. 

  • Excellent interpersonal skills, emotional intelligence, and relationship-building abilities. 

  • Ability to use sound judgment in making decisions with minimal supervision. 

Job Responsibilities

The candidate for the position of Employment Screens Coordinator will be responsible for:

  • Providing full cycle employment screening support for a wide range of functions and positions across the university in accordance to USC and federal, state, and local law and policy. Efficiently managing inbound and outbound calls and emails for employment, education, reference and licensing verification. Coordinating with vendors to complete all background checks in a timely manner.

  • Evaluating criminal records, background checks, etc. to determine reportability based on state and federal regulations. Entering reportable data into order management system. Presenting all findings with required documentation to the hiring manager and recruiting team, comprehensibly explaining criminal charges, legal court dockets & probation history as necessary.

  • Accurately, fairly and respectfully screening all candidates to ensure a fair and equitable process free from bias. Collecting feedback from hiring managers and candidates to continuously improve the screening experience for all candidates.

  • Identifying and communicating quality concerns in screening information that is gathered. Maintaining an attentive and responsive line of communication with manager, vendors and the broader hiring and recruiting teams. Partnering with Recruiters to understand current and future hiring needs and prepare screening knowledge and strategies accordingly. Demonstrating politeness and professionalism in communications to candidates, serving as a great USC brand ambassador.

  • Actively seeking opportunities to continuously improve the employment screening process (including technology and sub-processes). Demonstrating willingness to pivot swiftly and in an organized fashion based on changing resource needs and university priorities. Quickly adopting leading practices in Talent Acquisition and employment screening.

  • Demonstrating high quality assurance through data review of information obtained for verifications. Supporting USC’s quality assurance function, quality assurance and reporting data needs, and deadlines for reports and monitoring as they pertain to background screenings. Using informed judgment skills in determining additional resources needed for research, based on information gathered for specific cases.

  • Ensuring that all data entry is accurate and verified information. Collaborating with peers in the department to demonstrate the culture and values of the university and the HR organization to all candidates. Promoting an environment that fosters inclusive relationships and creates unbiased opportunities for contributions through ideas, words, and actions that uphold principles of the USC Code of Ethics.

  • Participating in special projects to continuously improve the performance of Talent Acquisition at the university. Demonstrating, through words, actions, and ideas, alignment to USC’s strategic plan and the HR organization’s strategic plan. Enabling the university to fulfill its academic and people missions through enhanced HR service.

  • Performing other related responsibilities as requested and when necessary. The university reserves the right to add or change duties at any time.
